We have the licences and nobody uses them: how to get a company using AI

We bought Copilot licences and nobody uses them. Everyone uses ChatGPT their own way. How do we put a method in place?

Licences stay closed when there's no precise job to use them on. It gets going by starting from one process, with a pilot group of five or six people, a prompt playbook written on your own documents and someone who looks after it once the first weeks are over. And by telling the team what changes for them, and what doesn't.

Guide in preparation: here you'll find the short answer, the outline and the answers to the most common questions. The full text follows in the coming weeks.

Why do the licences stay closed?

It isn't laziness: there's no job to use them on. The three typical signs (no rules, no examples on real files, nobody looking).

Who do you start with: managers, juniors, or whoever has already begun?

Start with whoever has a repetitive job and wants rid of it, whatever their age. The pilot group.

One process, for six weeks

The quote, the reply to a client, the weekly report: one. How to pick it and how to measure it.

The shared playbook, on your own documents

What it is, how to build it in a few days, where it lives, who updates it.

Who looks after it once the enthusiasm fades?

The person, the weekly ritual, the questions to ask the group. Why everything dies in three weeks without it.

What to tell the team, without lying

AI replaces repetitive work, not people; decisions stay with whoever takes them. How to say it, and when.

Frequently asked questions

Who do you start with, managers or juniors?

Whoever has a precise repetitive job and wants rid of it, in any department and at any age. Managers come right after: without their example the pilot stays an island.

How long before you see a change?

On the pilot process, four to six weeks: you see the hours disappearing and the prompts being saved. For the whole company, a few months, one department at a time.

Will AI replace anyone?

It replaces repetitive work, and changes what people do during the day. Decisions stay with whoever takes them. Saying that clearly to the team, before starting, is what helps most.
