Custom AI Assistant_the work that repeats, off your desk
It works when the job is well defined: quotes, orders, replies to clients, documents that get redone every time. In four to six weeks we build the assistant on your documents, inside the tools you already use, and connect it to your CRM, management software and email where needed. Your team learns to update it, with no developers in-house.

Microsoft 365 Copilot, Claude or Gemini: whichever you use
There’s a job that gets redone almost the same way every day.
A quote, an order confirmation, a reply to a client. That’s the right job for an assistant.
Only one person knows how to give the best answers.
When they’re on holiday, the work waits. The assistant learns from their examples, and prepares the draft for everyone.
The information sits in different places, and gets copied across every time.
From email to the management software, from the management software to the document. The automations do the copying, and a person checks.
works bestwhen there’s one job to hand over, and it’s clear who does it well today.
From the chosen job to an assistant your team updates_
Four to six weeks, with the people who do that job today.
The job and its examples
You choose the job and gather the material: good replies already sent, the documents you start from, the cases that fall outside the usual.
The assistant, inside your tools
It’s built in the tool your team already uses, and tested with the people who do that job, on the week’s real cases.
The automations
Where needed, it’s connected to your CRM, management software or email, so nobody copies data across by hand.
Handing it to the team
The maintenance guide and the final test: your team updates the assistant by itself, in front of us.
First, that job comes off the desk_
The assistant prepares the draft from your documents, and whoever used to do the job reads it through and sends it. The time they spent on it goes back to the people who make decisions.
Then you’re left with two things, and they keep it running once the project ends.
The assistant, connected to your tools
It works on your documents and writes the way your company writes. When a case falls outside the usual, it stops and passes it to a person.
What’s inside, with an example
the instructions: how work is done at your company, in the words of the people who do it
the documents it takes information from
the cases where it stops and passes to a person
the connected automations, where needed
Say the job is answering quote requests that come in by email. The assistant reads the request, takes the prices from the price list, prepares the draft in the usual format and puts it in the folder of the person who signs it. If a figure is missing, it flags it instead of making it up.
The maintenance guide
How to keep the assistant up to date when something changes, written for the person who will look after it. With it, the team doesn’t need to call anyone.
What’s inside, with an example
how to update it when the price list or the documents change
how to add a new case
what to check every month
whose job it is
The price list changes in January. Whoever looks after the assistant replaces the file, runs the sample requests from the guide and checks the drafts. If they come out right, the job’s done.
And on top
The independence test
Before we close, your team updates the assistant without us. If they can’t, the work isn’t finished.
The next assistant
For a second job, you start again from the same guide.
What does it cost?
Per project, with a quote within 48 hours. It depends on the job to hand over and how many tools need connecting.
Rather talk it through first? In the intro call we look together at which job to hand over first.
The options
The quote comes in three versions: the assistant alone, the assistant with automations, or both with follow-up afterwards.
How long it lasts
Four to six weeks.
What’s included
The assistant, the automations in the version you choose, the maintenance guide and the final test. They stay yours. Tool licences are extra.
Questions about the Custom AI Assistant_
Do we need a developer in-house?
No. You need someone who knows that job and will keep the assistant up to date: the maintenance guide is written for them.
What if the assistant gets it wrong?
It prepares the draft, but the person who used to do the job reads it through and sends it. In cases it doesn’t know, it stops and passes them to a person.
Does our data stay ours?
The work happens in the business versions of the tools, which don’t use your data to train the models. You decide at the start what the assistant can read.
What if we need a second assistant later?
It’s built for another job, starting from the same guide. The team that updated the first one already knows how to keep it running.
