Custom Format_the event your company runs every year, without starting from scratch
You start from what has to be different at your company a month later, and only then choose the venue and the programme. We design the convention, retreat, kick-off or client event with you, produce it with our partners and stay with you for the four weeks after. You keep a written format to run again every year.

the design
stands on its own, even if you produce with others
The annual convention has turned into a staff meeting.
Presentations one after another, the room on their phones. You redesign it starting from what has to happen afterwards.
You have to organise the leadership retreat, or the kick-off for the year.
There’s one day and little time. It has to end with decisions, each with a name next to it.
You reinvent the client event every year, even though it comes back every year.
Nothing from last year was written down. The format is written once, then updated.
works bestwhen you start with at least six weeks to go, and someone at your company will take charge of the format next year.
From the purpose to a format that stays_
Six to ten weeks of design, the event, and the four weeks after.
The purpose
Together we decide what has to be different a month later, in one sentence. Everything else is chosen around it.
The design
The running order, who speaks and with what, what gets built in the room, what role the guests play. Whoever goes on stage prepares in the weeks before.
Production
Venue, technical setup, hospitality: we handle it with our partners, or with your suppliers if you prefer.
The day
We’re there, from setting up to the close.
The four weeks after
The follow-up agreed in the room becomes work in the diary, and at thirty days you look at what has changed.
First, the day has a follow-up_
Everyone leaving the room knows what changes and who’s in charge of it. A month later you check together whether it happened.
Then you’re left with two things, and they bring the event back next year without starting from scratch.
The written format
How your event works, from the invitation to the close, written so your team can run it again. Next year you change the theme, and the rest is ready.
What’s inside, with an example
the purpose, in one sentence
the running order, with timings
who does what, before, during and after
the materials: invitations, handouts, scripts for whoever leads
Say it’s the January convention. The format says when the invitation goes out, who opens and with what speech, the afternoon team work and who collects what the teams produce. In November your team opens the document, picks the new theme and starts from there.
The follow-up plan
What happens in the four weeks after, who does it and how you tell at thirty days whether it worked. Without it, even a good event is a break from work and nothing more.
What’s inside, with an example
the decisions made in the room, each with someone responsible
the meetings in the four weeks after
what gets checked at thirty days
Say that at the retreat the leadership decided to review the prices of one product line. The plan says who brings the proposal, by when, and the meeting at thirty days where you check whether it was done.
And on top
Measures at thirty days
What changed a month later, in writing.
The design, on its own
If you’d rather produce with your own suppliers, the design stands on its own.
What does it cost?
Quoted in three parts: design, production, partners. The quote arrives within 48 hours.
Rather talk it through first? In the intro call we start from the purpose of the event, and move on to the format from there.
The options
Design only, the event fully produced, or fully produced and run again with us the following year.
What’s included
The design, preparing the speakers, the day with us, the four weeks of follow-up and the written format. Production and partners are separate lines, set out in the quote.
How long it lasts
Six to ten weeks of design, the event, the four weeks after.
Questions about the Custom Format_
How far ahead do we need to start?
At least six weeks before, ideally ten for a convention with many people. The time is mostly for the speakers, who prepare in the weeks before.
Do you work with our suppliers too?
Yes. Production is done with our partners or with whoever you choose; the design and the format stay the same.
What about the following year?
Your team opens the format, changes the theme and runs it again. If you want, we pick it up together.
For how many people?
There’s no limit: the production changes, the method stays the same.
